We're preparing for a large cloud migration project where approximately 700 Google Workspace accounts will be moved to Microsoft 365. Besides Gmail, we also need to migrate contacts, calendars, Google Drive data, and Shared Drives while preserving the existing folder organization as much as possible. Since this is an active production environment, employees will continue using their mailboxes throughout the migration, so minimizing downtime and avoiding duplicate data are major priorities.
We've been reviewing several methods to migrate Google Workspace to Office 365, but most implementation guides seem focused on smaller environments. Our migration checklist includes secure authentication, batch processing, incremental synchronization, detailed reporting, mailbox validation, and pilot testing before production deployment. We also intend to migrate departments in stages so that any unexpected authentication or mapping issues can be resolved without affecting the entire company. After every migration batch, we'll compare mailbox statistics and verify that business-critical emails and documents have been transferred successfully.
One recommendation we've received from several consultants is to create a complete backup before beginning the migration. Because of that, we're also evaluating a reliable Google Workspace Backup Tool that can archive Gmail, Drive data, contacts, and calendars independently of the migration process. Having a verified backup seems like a practical safeguard for recovery, compliance, and post-migration validation, especially when handling years of business communication across multiple departments.
While researching migration software, I also came across the G Suite Backup Tool from DRS Softech. The available documentation looks comprehensive, but I'd much rather hear from administrators who have completed similar enterprise projects.
If you've migrated a large Google Workspace environment recently, what would you recommend before starting the production rollout? Any lessons learned regarding validation, reporting, or user communication would be greatly appreciated.
