I’m preparing for an email migration and have been thinking about how to keep the existing IMAP mailbox data safe throughout the process. The mailbox contains years of emails, attachments, and several custom folders, so I don’t want to start the migration without having another copy of the important data.
One option I’m considering is to export IMAP to PST before moving the mailbox to another platform. Having the data in a commonly used format could make it easier to retain a local copy and access older messages if necessary. The bigger concern, however, is maintaining the original folder structure and avoiding unnecessary duplicate messages when the mailbox is large.
While comparing different backup approaches, I came across the SysInfo IMAP Backup Tool. It supports saving IMAP mailbox data in several formats, including PST, MBOX, PDF, MSG, EML, CSV, DOC/DOCX, and JSON. It also supports batch processing, which could be useful when an organization has several IMAP accounts that need to be backed up before migration.
I think the filtering options are also worth considering. For example, a date filter could be useful when only messages from a particular period need to be included. Duplicate removal can help reduce repeated emails, while folder mapping can make it easier to maintain a recognizable mailbox structure. Being able to preview the mailbox folder tree before starting the process also seems helpful for checking what will actually be processed.
A separate IMAP email backup can provide some reassurance during a migration because the original mailbox data remains available independently of the migration workflow. Incremental synchronization could also be useful when new emails continue arriving after the initial backup, since there may be no need to repeatedly process unchanged mailbox data.
