What Should You Check Before Moving an IMAP Mailbox to Microsoft 365?

I’m currently planning an email migration from an older IMAP server to Microsoft 365, and I’ve realized that the process involves more preparation than I initially expected. The mailbox contains several years of messages, attachments, and custom folders, so I’m more concerned about keeping everything organized than simply completing the transfer.

One of the first things I’m checking is the size and structure of each mailbox. When you migrate IMAP to Office 365, it’s useful to know how much data is involved and which folders are actually being used. I’m also reviewing the source server settings and making sure the credentials for each account are working before beginning any large-scale transfer.

Another question I had was whether creating an IMAP email backup should be considered a standard part of the preparation process. It seems useful to have an independent copy of important messages before changing anything. If an email cannot be found after migration, having the original data available makes it much easier to determine whether the message was missed or simply stored somewhere unexpected.

I’m also paying attention to duplicate messages. Some users have archived their mail several times over the years, so there may already be repeated emails in certain folders. Moving everything without reviewing the source could result in an unnecessarily cluttered mailbox on the new platform.
