How Can I Convert PST Data When Outlook Is Not Available?

I have an old PST file from a previous Outlook setup, but I no longer have access to the original Outlook profile that was used to create it. The PST contains several years of emails and attachments that I still need to access and archive.

My first thought was to open the file through Outlook and export the required data, but installing and configuring Outlook just for an old PST archive seems unnecessary. I am therefore looking at dedicated PST converter software that can read the mailbox directly and export the required information into more accessible formats.

The archive contains multiple folders and subfolders, and I would prefer not to lose that organization during conversion. Some messages also contain important attachments, so simply extracting the email text would not be sufficient for my requirements.

I came across the SysInfo PST Converter while researching available options. It appears to support converting PST data into formats such as EML, MSG, MBOX, PDF, and CSV, along with options for previewing mailbox contents and selecting specific folders.

Before I process the original archive, I want to understand how others approach this situation. Is a dedicated PST converter useful when Outlook is unavailable, or are there alternative ways to access and export an old PST?

I am particularly interested in whether the tool should be able to preview the mailbox before conversion, preserve the folder hierarchy, and retain attachments. If only certain folders are required, I would also prefer to avoid converting the entire archive unnecessarily.

I will make a backup copy of the PST before trying anything and verify several converted messages afterward.

When Outlook is not available, PST data can still be converted with a standalone PST conversion utility that works directly with the mailbox file. This is helpful when you need to access or export PST data without relying on Outlook.

DataVare PST Converter can be considered for this purpose, with options to convert PST files into MBOX, EML, EMLX, MSG, NSF, TGZ, HTML, MHTML, PDF and IMAP. It also provides batch conversion, preserves folder and subfolder structure, retains attachments and email properties and includes a Date Range filter for selective conversion.

A practical approach to follow:
  • Add the required PST file or folder that contains multiple PST files.
  • Select the required output format.
  • Use the date range filter if only specific emails are needed.
  • Choose the destination location and start the conversion.
  • Open the converted data afterward to check folders, messages and attachments.
For a large mailbox, testing one PST first is a sensible way to confirm the output before converting everything.
